How Emberkom handles information from its website, communications, support, and the online accounts and resources it provides.
Last updated:
This notice covers Emberkom LLC’s public website, communications and support, and the online accounts and resources we provide for business use. It applies to clients and their authorized users, invited guests, and people working for Emberkom.
These resources include support portals, shared files and collaboration spaces, client documentation, backup and recovery portals, and Mail Authentication services. The notice applies whether access uses single sign-on, a separate account, or a guest invitation, including access to Emberkom’s Microsoft 365 and SharePoint resources.
Information you provide
When you contact us or use a support form, you provide information such as your name, business contact details, ticket number, and the details of your request. We use this information to communicate with you, manage support requests, and provide services.
If you follow a booking link, you continue to Microsoft Bookings. The contact details, appointment selection, and other information you enter there are used to arrange and manage your meeting.
Depending on the resource, information may also include messages, shared files, documentation, and other content submitted by you or your organization. Client systems and services can contain personal information about employees, customers, or others. We handle that content in connection with the services provided to the client and the applicable arrangements with that client.
Accounts, sign-in, and activity
Emberkom and its service providers process account information such as your name, email address, organization, account identifiers, and permissions to establish and manage access.
Sign-in and activity records can include the account used, time, application or resource accessed, IP address, approximate location, browser and device information, authentication method, and whether an action succeeded. The records available depend on the platform and configuration. We use available records for administration, troubleshooting, security, and investigating unauthorized activity.
Sign-in pages and online portals may use cookies or similar session information for authentication, security, preferences, and normal operation. If you sign in with an account managed by your employer or another organization, that organization also handles your account information under its own policies.
Service information
The information processed depends on the service used. It can include support history, shared business documents, system documentation, device and backup status, recovery activity, and email-domain authentication reports. Backed-up content is processed as part of the backup service; having portal access does not mean you can view or restore all of that content.
Mail Authentication services process domain details and reports about email sent using those domains. Reports can contain technical information such as sending IP addresses, message counts, and authentication results. The information received depends on the reporting configuration and the systems sending reports. We use it to provide, administer, and troubleshoot email-domain protection.
Who can access information
Information in a shared site, workspace, ticket, or client portal may be visible to people with access to that resource. This can include authorized client users, invited guests, and people working for Emberkom. Check recipients and sharing permissions before adding confidential information. Read-only permissions limit changes; they still allow the information made available to that account to be viewed.
Authorized Emberkom personnel can access information made available through these resources for service delivery, administration, support, security, and business operations, within their assigned permissions. Access and available administrative records vary by service.
Service providers
We use providers for website hosting, appointment scheduling, email and identity services, collaboration, support, documentation, backup and recovery, and email-domain protection. These providers process information needed to operate their services, including where a portal displays Emberkom’s branding. Support forms on this website send the details you enter directly to the provider that operates our support portal.
Provider processing depends on the applicable service terms, privacy notices, and configuration. Contact us if you need to identify the provider or understand the handling of information in a particular resource. We may also disclose information where required by applicable law or legal process.
Website visits
These public website pages do not use advertising or analytics trackers. Hosting services may record technical information, such as your IP address, browser, pages requested, and access times, to operate and protect the website. The cookie and activity practices of sign-in pages and online portals are separate from those of these public pages.
The Booking, Contact, and Support pages use Cloudflare Turnstile to help distinguish visitors from automated traffic before showing the Microsoft Bookings link, contact details, or support forms. Cloudflare processes browser and device signals for this check. Our hosting service verifies the result before releasing the page content. This check does not require an Emberkom account, and information you enter in the support forms continues directly to our support provider. See Cloudflare’s Turnstile Privacy Addendum for information about its processing.
Meetings and AI assistance
Emberkom’s meeting invitations provide a separate meeting privacy and security notice covering recording, transcription, and AI assistance. Refer to that notice before attending a meeting, or contact the organizer with questions.
Retention, questions, and requests
How long information is kept depends on the record, service, applicable client arrangements, and business or legal requirements. Service settings and provider retention processes also affect how information is retained or removed.
To ask about a particular record or provider, or to request access, correction, or deletion, send a request through our support page. Include enough context to identify the relevant account, communication, or request, but do not send passwords or sign-in codes. Requests involving information controlled by a client may need to be handled with that client. Some records may need to be retained for ongoing services, business records, or legal requirements.
